General Terms and Conditions of Nominations

Comprehensive Guidelines and the Awards Process

Introduction

The SA Social Media Awards have been established to celebrate excellence and innovation in the digital landscape, recognising individuals, brands, and organisations who have made significant contributions to social media in South Africa. Nominations are a foundational element of the awards programme, ensuring transparency, fairness, and inclusivity throughout the selection process. This document outlines the general terms and conditions governing nominations, as well as providing a detailed flowchart of the awards process.

1. Eligibility Criteria

  • Nominees must be residents of South Africa or organisations registered and primarily operating within the country.
  • Nominees may include individuals, teams, agencies, brands, public figures, or organisations who have demonstrated outstanding use of social media platforms.
  • Content or campaigns nominated must have been published, initiated, or active within the specified eligibility period, typically within the previous calendar year.
  • Previous winners are eligible for nomination, provided they meet all current criteria.
  • Employees, immediate family members, or agents of the organising committee may not be nominated for awards in categories where a conflict of interest exists.

2. Nomination Process

  • Nominations may be submitted by the general public, brands, agencies, or nominees themselves, depending on the category.
  • All nominations must be submitted via the official SA Social Media Awards website or designated nomination portal during the announced nomination period.
  • Each nomination must include accurate and complete information about the nominee, category, social media handles, and a brief description of the contribution or campaign.
  • Supporting materials—such as content samples, analytics, testimonials, or press coverage—may be required for certain categories.
  • Multiple nominations for the same campaign or individual are permitted, but duplicates may be consolidated at the organisers’ discretion.
  • Nominations submitted after the deadline will not be considered.

3. Nomination Categories

  • Categories are announced annually as determined by the organising committee.
  • Each category has its own specific criteria, which will be published with the call for nominations each year.
  • The organisers reserve the right to modify, merge, or cancel categories based on the volume and quality of entries received.

4. Verification and Vetting

  • All nominations undergo an initial review by the awards committee to verify eligibility and completeness.
  • The committee reserves the right to request additional information or clarification from nominees or nominators.
  • False or misleading information may result in disqualification of the nominee and, in extreme cases, a ban from future participation.

5. Privacy and Data Protection

  • All personal data provided in nominations will be processed according to South African data protection legislation.
  • Nominee information may be published or used for promotional purposes, except where explicitly requested otherwise.
  • The organisers will not share sensitive nomination data with third parties without consent, except as required for verification or judging.

6. Judging Process

  • After successful vetting, nominations are forwarded to a panel of independent judges selected for their expertise in digital marketing, content creation, and social media strategy.
  • Judges evaluate each nomination based on published criteria, impact, innovation, reach, engagement, and relevance to the category.
  • Shortlisted nominees are publicly announced and are subject to public voting.
  • The decision of the judges is final and binding. No correspondence will be entered into regarding the outcome.

7. Public Voting Process

Once the shortlist of nominees has been created and announced publicly, the public voting process begins. This process is crucial for social media due to public opinion role being significant in determining the winners. Here are the steps involved:

  • Announcement of Shortlist: The shortlist of nominees is publicly announced through official channels, including the SA Social Media Awards website, press releases, and social media platforms.
  • Opening of Public Voting: Public voting opens for all categories at R2.50 per vote. This allows the general public to cast their votes for their favourite nominees on our website sasma.co.za .
  • Voting Period: The voting period is specified, during which the public can submit their votes. The duration of this period is communicated through the official channels.
  • Auditing of Votes: After the voting period ends, the votes are audited to ensure accuracy and fairness in the final scoring.
  • Final Selection: The final selection of category winners is made based on the audited public votes (50%) and the judges scores (50%).
  • Announcement of Winners: The winners are notified, and the results are announced via official channels, including the awards ceremony.
  • This process ensures transparency and inclusivity, allowing the public to have a say in recognizing excellence in social media.

8. Conflicts of Interest

  • Judges, committee members, and organisers must declare any potential conflicts of interest prior to the vetting and judging process.
  • Any judge with a conflict in a specific category will abstain from evaluating those entries.

9. Disqualification and Appeals

  • The organisers reserve the right to disqualify any nomination at any stage for failure to comply with terms and conditions, fraud, or misconduct.
  • Nominees or nominators may submit a written appeal within seven days of disqualification notice, which will be reviewed by the committee.

10. Withdrawal by Nominees

  • Nominees have the right to withdraw their nomination at any stage prior to the announcement of the shortlist by submitting a written request to the organising committee ([email protected]).
  • Once the shortlist has been publicly announced, withdrawal requests will only be considered under exceptional circumstances and at the discretion of the organising committee.
  • All withdrawal requests must include a valid reason and will be acknowledged within a reasonable time frame.
  • Withdrawn nominations will not be reinstated for the current awards cycle but may be eligible for nomination in future cycles, subject to eligibility criteria.

11. Publicity and Announcements

  • Shortlists and winners will be announced via official channels, including the SA Social Media Awards website, press releases, and social media platforms.
  • Nominees may be asked to participate in interviews, promotional activities, and the awards ceremony.

12. Amendments

  • The organising committee reserves the right to amend these terms and conditions at any time. Any changes will be published on the official website.
